JOB SUMMARY:
Provides administrative support to the assigned leader(s) within the Operations department.
Work schedule - Mon - Fri / 9:00am - 5:30pm 
RESPONSIBILITIES:
  • Manage incoming calls, data entry, customer inquiries, manage deliveries and clerical duties.
  • Assign UPCs (Universal Product Code) to new products; maintains control of all UPC numbers.
  • Establish and maintain positive working relationships with contacts within Sysco operating companies, suppliers, and customers.
  • Assist supported leader in staff capacity by coordinating office services such as personnel, budget preparation and control, housekeeping, records control, and special management studies.
  • Placing orders for items needed for production, working with receiving and operations to determine appropriate inventory levels.
  • Read and screen correspondence, daily; identifies critical issues within identified parameters and prioritizes correspondence.
  • Use MS Outlook to create and maintain calendars, schedule and organize activities such as meetings and department activities.
  • Assist team with copying, filing, communications, internet research requests, etc.
  • Process invoices and expense reports for payment.
  • Create and maintain tracking and/or filing systems as required ensuring information is always organized, up-to-date and available when requested.
  • Anticipate needs to maintain office supply levels and complete special projects as assigned.
  • Participate and attend mandatory training and meetings
  • Perform other support duties as assigned
QUALIFICATIONS:
Education 
  • High School or Equivalent
  • Associates Degree or equivalent with some related specialized coursework.
Experience
  • At least 2 - 4 years of administrative support experience in an Operations environment.
Professional Skills:
  • Excellent interpersonal and customer service skills with the ability to communicate verbally and in writing with all levels of associates and external parties including customers and vendors.
  • Strong detail and quality orientation.
  • Must be able to work independently and have outstanding attendance.
  • Exceptional written and verbal communication skills; excellent telephone etiquette
  • Strong planning & organizing skills, impeccable follow-up and exceptional attention to detail
  • Must have the ability to plan and prioritize workload to meet day to day needs
  • Must demonstrate a sense of urgency and the ability to work in a fast-paced environment
  • Strong working knowledge of the rules of effective English usage, including subject/verb agreement, tenses, and basic grammar
  • Ability to maintain confidentiality and exercise discretion about sensitive information
  • Ability to read and comprehend basic instructions, short correspondence, and memos
  • Strong organization, analytical and follow up skills
  • Ability to work on multiple projects concurrently and capable of working with little direct supervision
  • Ability to speak Spanish preferred, but not required.
Certificates, Licenses, and Registrations:
  • Proficiency in Microsoft Office Suite\ software including Word, Excel, PowerPoint, and Outlook; proficient in the use of tables, formatting, formulas, clipart/ graphics, presentations, macros, database development, project tracking, etc.
  • Type a minimum of 50 wpm, ability to proofread business memos and correspondences with accuracy.

  • Regularly required to sit, stand, walk and use hands and fingers to operate a computer keyboard, mouse, and telephone to talk and hear.
  • Frequently required to sit and reach with hands and arms.
  • Must occasionally lift and/or move up to 25 pounds.
